Physician Review & Refund Policy
Applies to all Halftime Health member subscriptions. Full legal terms are in our Terms of Service, Section 13.
The short version
Here's how Halftime Health works:
- You review your blood results and personalized protocol plan
- You choose your subscription plan and pay (Step 5)
- A licensed physician independently reviews your labs and plan
- If the physician approves → your prescription goes to the pharmacy and your protocol ships
- If the physician doesn't approve → your subscription is cancelled and you receive a full refund of your subscription payment
No fee is deducted. If the physician doesn't approve your prescription, you get every dollar back.
Why you pay before the physician reviews your plan
Halftime Health is built on a physician-supervised model. Every personalized protocol requires a real, licensed physician to independently review your actual lab results and make a clinical determination before anything ships. That's not a rubber stamp — it's a genuine independent medical review.
Payment happens before physician review because your subscription is what triggers the physician review process. When you confirm your plan and pay in Step 5, you're telling us: "I've looked at my results, I want this protocol — please have a physician review my case and prescribe it." Your payment activates that process.
This is how many healthcare services work: you pay for a clinical consultation before you know the outcome. But unlike most services, if the physician doesn't approve, you don't pay. We absorb the cost of the clinical review as part of our commitment to physician-supervised care. If it doesn't work out, you get a full refund.
What "physician review" actually means
When your plan is submitted for physician review, a licensed physician in OLA Digital Health's network does the following:
- Reviews all of your blood biomarker results from your Labcorp panel
- Reviews your health intake information and stated goals
- Assesses whether your recommended personalized protocol plan is clinically appropriate for your individual health profile
- Applies their independent medical judgment — this is not an automated process
- Either approves your prescription, requests additional information, or declines to prescribe
This is a real physician making a real clinical decision about your specific case. Physician reviews typically take 24–72 hours.
If the physician approves your plan
Your prescription is issued by the Ordering Physician and sent directly to our pharmacy partner (Wellsync/BoomRx or MediVera Lifefile). Your medication is compounded patient-specifically and ships within 5–7 business days. Your subscription continues on its normal monthly cycle.
You'll receive an email notification when your prescription is approved and another when your order ships.
If the physician doesn't approve your plan
First, some important perspective: a physician denial doesn't mean anything is wrong with you — it means a licensed physician reviewed your specific labs and health profile and determined that the particular protocol isn't the right fit for your situation right now. This is the safety system working as intended.
Here's exactly what happens:
- Your subscription is cancelled automatically. No future charges.
- You receive a full refund of your subscription payment — every dollar, back to your original payment method.
Refund timeline: Your refund is processed within 5–7 business days of the physician's determination. Depending on your bank or card issuer, it may take 3–5 additional business days to appear in your account. You don't need to request the refund — it's processed automatically.
You'll receive an email confirming the cancellation and the refund initiation.
What you can do after a denial
A physician denial isn't necessarily the end of your Halftime Health journey. Here are your options:
Understand why. Your denial notification will include the physician's clinical reasoning (to the extent it can be shared under applicable privacy guidelines). Understanding the specific reason can help you decide what to do next.
Address the clinical concern. Many denials are based on a specific lab value or health factor that can be addressed. For example:
- A thyroid marker that needs attention before certain peptide protocols are appropriate
- A medication that interacts with a specific protocol
- A lab value that needs to be rechecked after a lifestyle or treatment change
Once the underlying concern is resolved, you can re-apply.
Explore a different protocol. Our formulary covers multiple health goals across different categories. If the physician didn't approve your selected protocol, there may be another that's right for your current health profile. Contact our care team at support@halftime.health to explore options together.
Consult your primary care provider. If the denial was related to a specific lab value or medical finding, your primary care doctor may be the right first step before re-applying.

If you cancel before the physician reviews your case
Changed your mind after paying? You're entitled to a full refund. Contact billing@halftime.health and we'll process it. Full refunds for pre-review cancellations are processed within 5–7 business days.
If the physician asks for more information
Sometimes a physician will request additional information before making a decision — for example, clarification about a current medication, supplement, or health condition that wasn't covered in the intake form.
This is not a denial. Your subscription stays active during this period. If you provide the requested information and the physician approves your plan, everything proceeds normally. If the physician reviews the additional information and ultimately declines, you receive a full refund of your subscription payment.
If the physician modifies your plan
Sometimes a physician approves a modified version of your plan — for example, a different dosage or a slightly different protocol — rather than the exact plan you selected.
If you accept the modified plan, your subscription continues at the same price. If you'd prefer not to proceed with the modified plan, you can decline and receive a full refund of your subscription payment.
State-specific rights
All members in Halftime Health's 47-state service area are entitled to refund rights under applicable state law. In every case, if your state's law provides greater rights than described here, those rights apply.
Washington State residents have the right to cancel within 3 calendar days of subscription activation and receive a full refund, regardless of whether physician review has begun. Contact billing@halftime.health within 3 days of your Step 5 payment confirmation to exercise this right.
Refund FAQ
Q: Do I have to do anything to receive my refund if the physician denies my prescription?
No. Refunds for physician denials are processed automatically. You'll receive an email confirmation when the refund is initiated.
Q: How will the refund appear on my statement?
The refund will appear from "Halftime Health" on your credit or debit card statement, matching the original charge. Processing typically takes 5–7 business days on our end, plus 3–5 business days for your financial institution.
Q: What if I don't see my refund after 14 days?
Contact billing@halftime.health and we'll investigate immediately.
Q: If I re-apply after a denial and pay again, is that a new subscription?
Yes — each new enrollment is a fresh subscription with a new physician review. If the physician approves your second application, your subscription continues. If denied again, you receive another full refund.
Q: Does this refund policy apply to monthly renewal charges?
No — the full-refund-on-denial policy applies only to your initial subscription payment. Monthly renewal charges are non-refundable, except in the case of physician discontinuation or FDA regulatory disruption (see Terms of Service §13(d)(vii)–(viii)).
